Managing messages in Contact Form 7 is crucial for maintaining effective communication with your customers. This guide will help you navigate through the message management features, including viewing messages, replying, marking important, performing bulk actions, and exporting data.
Accessing the message list
The message list is designed to provide a comprehensive overview of all communications received through your contact forms. This allows you to efficiently manage and respond to customer inquiries without missing any important messages.
To view the messages received through all contact forms on your website:
Step 1: Click on “Messages” in the sidebar menu to open the message list.
Step 2: Here, you can manage all messages sent through the contact forms on your website. The message list displays key information in the following columns to help administrators quickly grasp important details of each message without needing to view the details:
- Subject: The subject line of the message.
- Message: A brief preview of the message content.
- Contact form: The specific contact form from which the message was sent.
- Replied: Indicates whether a reply has been sent.
- Date: The date the message was received.
- Action: Options for viewing, or deleting the message.
Replying to and marking messages as important
View and reply to messages:
- To view the details of a specific message, click on the “View” button at the end of the message row.
- Click “Reply” in the popup displaying the message to send a response.
- Enter your reply then click the “Send” button.
Mark messages as important: In the message list, click on the star icon next to the subject of each message to mark it as important.
Deleting messages: To delete a message, click on the down arrow at the end of the message row and select “Delete”.
Performing bulk actions
Contact Form 7 allows you to perform bulk actions to manage multiple messages at once.
Introduction to bulk actions: Bulk actions enable you to mark messages as unread, read, or delete multiple messages simultaneously.
Executing bulk actions:
- Select and tick the checkboxes next to the messages you want to include in the bulk action.
- Scroll to the bottom of the page, click “Bulk action” to open the dropdown menu.
- Choose the action you wish to perform, such as “Mark as read/unread” or “Delete selected”.
Exporting message data
Exporting message data to a CSV file allows you to back up your messages for future reference. It is a useful feature for maintaining records and performing data analysis.
- In the message list, find the “Action” column.
- Click the “Export” button to export the entire message list.
- Click “Save” to save the file in CSV format.
